-Prepare reports, letters, memos and correspondence including those of a confidential nature for the DBD/ DOS and maintain files accordingly.
-Take & transcribe minutes of meetings.
-Responsible for an efficient and up-dated filing system for the department.
-Answers and places telephone calls and arranges appointments for the DBD/DOS.
-Keeps track of appointments and various meeting schedules.
Maintains adequate stock of office supplies, initiates necessary requisition on a weekly basis.
-Distributes all incoming documents immediately; dispatches and records outgoing mail.
-Projects an image of discretion at any time while maintaining good relations with all sections.
-Prepare proposal / contract on behalf of sales manager for both accommodation and events.
-Maintains and update record for Top Key Club to insure database and points are accurate.
-Issue banquet event order to all concerned department and make sure all information is passed to the operation.
-Administration work for sales office.
-Performs any assignments as may be delegated by DBD / DOS.
Be aware of event details related to the accounts of designated Sales Managers.
-Assists Sales Manager in liaising with other departments for information
-Maintains a good understanding of clients serviced by designated Managers.
-Handles Guest’s requests independently by supplying information, contacting concerned departments to assist in guests’ requests and needs.
-Updates Group chart and prepares relevant reports.
-Conducts site inspections if required.
-Responsible for sending out the Letter of Agreement, Thank You Letter, etc.
