To assist in the day to day running of the Human Resources Department ensuring administration systems and company policies and procedures are followed whilst maintaining a high degree of associate satisfaction. 协助人力资源部的顺利日常运作,确认公司政策正确遵从,以保证内部客人的满意度。

SPECIFIC DUTIES 工作任務 :
Recruitment & Employment Administration 雇聘管理
1. Administer the process for acquisition of qualified candidates
1. Assist HRM to conduct selection interviews and recommend suitable candidates for all general associates vacancies 协助人力资源经理参与面试
2. Inform interviewees of job nature and responsibilities and explaining various terms of employment and other benefits accordingly 解释工作性质及福利
3. Liaise with Hotel school and other labour supply companies for suitable candidates. 协助联系酒店学校及其他劳动力中介公司
2. Administer the process for internal associate movements
1. Check details on Personnel Action Form (PAF) raised by department heads against manning guide before submitting for HR Manger’s review.
2. Maintain and update personnel profile record (recruitment, promotion, transfer, termination, personal data, salary adjustment, turnover, etc) in both the Human Resources Management Information System (HRMIS).
3. Initiate timely reminders to department heads on probation, contract expiry, etc
4. Initiate timely process for exit associates (transfer of files, employment certification, etc.)
3. Administer the process for disciplinary actions 管理纪律处分过程
1. Ensure associates receive and sign return the associate handbook, Marriott / Renaissance business ethics, Information Protection Agreement, etc.
2. Ensure all disciplinary notices are duly singed by the associates and supervisors concerned and are filed and input into both the HRMIS and individual personal file.
Benefit & Welfare Administration 福利
1. Administer associate benefits scheme and programmes systematically on a timely basis
a. Conduct orientation to new associates on benefits related items
b. Maintain an accurate tracking system for significant dates (birthdays, awards, long service awards, etc)
c. Monitor the cleanliness and upkeep of the associate canteen and locker areas in conjunction with the Food and Beverage / Housekeeping department.
d. Coordinate with Security Department in locker inspection
e. Monitor and update leave records and related personnel activities on HRMIS
f. Coordinate with Medical Doctor to arrange for associate medical check-up and x-ray examination according to government requirement
2. Co-ordinate and administer associate general welfare and recreational activities
a. Arrange and follow through the details of events e.g. Associate appreciation week, outing, monthly birthday party, annual associate party, etc.
b. Recommend and propose periodic associate recreational activities and assist in the preparation
c. Assis HRM to coordinate Associate Activities Organizing Committee
d. Be in charge of all the coordination and communication work of the associate relations related matters.
3. Administer payroll procedures
a. Verify monthly attendance with records in HRMIS before payroll cut off day
b. Calculate and check accuracy of overtime payment
c. Check accuracy of associates day off and various leave in the HRMIS
Training and Development 培训
1. Assist new associate to integrate into the hotel 协助入职培训
a. Assist Training Officer/Manger in coordinating and conducting Orientation to help new associates acquaint with the culture of the hotel
b. Assist department / section heads to carry out departmental orientation
2. Co-ordinate and administer Associate Recognition activities 协调员工活动
a. Coordinate Associate and Manager of the month / quarter / year.
b. Recommend and propose periodic associate recognition activities and assist in the preparation
c. Be in charge of all the coordination and communication work of the associate recognition related matters.
Office Administration 办公管理
1. Contribute to the overall efficiency of the department
a. Maintain accurate and confidential record keeping.
b. Exercise creativity on the performance of the daily job
c. Increase productivity on the outcome of the job assigned
d. Be a team player with all HR associates to ensure internal customer satisfaction without compromising standard and bottom-line.
e. Provide one-shop stop service to all HR enquiries.
2. Carry out any other duties and responsibilities as assigned.

JOB SPECIFICATION職位要求 :
Profile of Competency
工作能力:
· HR Officer – Minimum 3 years of experience in Human Resources profession of a sizeable international organization
· HR Assistant – Minimum 2 years of experience in secretary / administrative support role
· Good knowledge in MS Words, Excel and PowerPoint, MS Access preferred but not necessary
· Attention to details
· Ability to compile reports as required using HRMIS
· Ability to work as a team to achieve common goal
· Have service mentality
Language 語言能力:
· High proficiency in written and spoken English and Mandarin
· Certificate of college English Test – Level 4
Education 教育:
· Good general education, preferably University graduates
